The Intergovernmental Risk Management Agency (IRMA) invites candidates to apply for the position of Executive Assistant, which is a full-time position at 37.5 hours per week with a flexible hybrid schedule. IRMA is a highly respected intergovernmental risk pool consisting of 72 municipalities in the Chicago region. IRMA provides risk management services to its members, including customized public entity insurance coverage, exceptional in-house claims management as well as trainings and loss control visits. The Executive Assistant is a central position in the organization, assuring department projects are coordinated, agenda packets for Board of Director and other Committee meetings are prepared in a timely and accurate manner, assists Directors as necessary, supervises administrative staff, ensures all underwriting is accurate and complete, monitors Executive Director calendar and projects, assist senior staff to assure sufficient support is provided, assists with personnel including schedules, maintains files, performance evaluations and new employee onboarding, maintains member participation at meetings, assists with Annual Risk Management Report, oversees monthly e-news and other communications with members, schedules staff meetings and prepare agendas and other duties as assigned.
Candidates must possess excellent customer service skills as well as written and oral communication skills, organizational and time-management skills, supervisory experience, the ability to prioritize, multitask and work independently, and excellent computer/technology experience including the ability to learn new software programs quickly. The person must be proficient with Microsoft Office, Zoom, Teams, Excel, etc. The position requires the ability to work in a fast-paced environment and multi-task consistently. Candidates must have a minimum of 5 years experience as an Executive Assistant or in a similar role.
